Who we are

Speakingboard (speakingboard.com) is owned and run by Seedro Systems LLC, an Illinois limited liability company.

Speakingboard is a web app: you speak or type, and it builds a visual board of boxes, jobs and notes. It can also create images, charts, PDFs and animations, and with Listen-In turned on, it can listen to a conversation.

What we collect

• Account details. If you sign up with email, we collect your email address, a password and, if you give one, your name. We store the password only as a salted scrypt hash, never as the password itself. If you use Sign in with Google, Google gives us your name, email address and Google account ID (the openid, email and profile permissions), and nothing else from your Google account.
• What you say and make. The text transcripts of what you say, what you type, and the boards, notes, tasks and files you create or upload.
• Trial usage. Without an account, a random ID in a cookie counts your first 30 minutes. With an account, during the 7-day trial we count seconds of use per day, how many boards you have, and how many images and charts you've created. Daily usage counts are kept for about 8 days.
• People you add to a board. If you add someone to a board, we store the name and email address you give us, and the answers and files they send back.
• Bug reports. If you send one, we keep what you typed, which board you were on, your browser type and recent error messages from the page.
• Upgrade interest. Speakingboard takes no payments today and collects no payment information. If you click to upgrade, we note your email address and the time.
• Network data. Traffic to Speakingboard passes through our network provider, which processes IP addresses to deliver and protect the site.

How we use it

• To build and update your boards, and to create the images, charts and PDFs you ask for.
• To sign you in, run your account, and send the emails the service needs: confirming your email, password resets, board invites and task emails.
• To apply the trial's limits.
• To find and fix problems, using the bug reports you send.
• To improve how Speakingboard understands commands, from phrasing patterns with the specifics removed.
• To see how many people want a paid plan.
• To keep the service secure and prevent abuse.

Information from Google sign-in is used only to sign you in and identify your account. We don't use it for advertising, and we don't sell it or pass it on except to the providers listed below, as needed to run the service.

Who processes it for us

We share your information only with the service providers that run Speakingboard for us. Each handles what it receives under its own terms and privacy policy:

• Speech-to-text: turns your microphone audio into text while you speak.
• AI model: builds your board, charts and PDFs from the text of what you say and type.
• Image creation: draws the pictures you ask for, from your description.
• Sign-in: only if you choose to sign in with a third-party account.
• Email delivery and link hosting: sends the emails you trigger and hosts boards you share as a link.
• Network delivery and security: carries traffic to and from the site and protects it.
• Payments: processes your payment if you buy a plan. We never see your card number.

Sharing and connected AI apps

• People on a board. A board's owner can add people by name and email and assign them tasks. Those people get an email with a private link. What they send back, text or files, is stored in the board and can be seen by the owner and the other people on it.
• Sharing as a link. If you share a board as a link, a copy of it is published at a hard-to-guess web address on our web host. Anyone who has the link can open the copy, or edit it if you shared it for editing. Don't share a board as a link if it holds something you wouldn't want forwarded.
• Connected AI apps. Where available, you can choose to let an AI app you use, such as Claude, Gemini or Codex, read and write your boards. It only has access when you connect it. What that AI app does with your boards is governed by its provider's terms.

We also disclose information when the law requires it. If Speakingboard moves into a company we form, or is sold, your information moves with it and this policy keeps applying to it.

Listen-In

Listen-In is off until you turn it on. While it's on, our speech-to-text provider separates the voices in the audio and labels them "speaker 1", "speaker 2" and so on. Those labels last for that one session only. You can give the speakers names on your board, and the board keeps the text and those names. We keep no audio and no voice profiles, and nothing is used to recognize anyone's voice in a later session.

Before you turn on Listen-In, tell everyone in the conversation and get their agreement. Several states, including Illinois and California, require the consent of everyone in a conversation before it is recorded or listened to.

Cookies

We use three essential cookies of our own: one keeps you signed in (60 days), one runs the no-account trial (1 year), and one protects the Google sign-in step (10 minutes). None are used for advertising or analytics, and a few display preferences stay in your own browser.

What we don't do

• We don't show ads.
• We don't sell or rent your personal information.
• We don't share it for cross-site advertising.
• We don't use third-party analytics or tracking pixels.
• We don't keep your audio.
• We don't build voice profiles to recognize anyone.

How long we keep it

We keep your account and boards while your account exists. If you ask us to delete your account, we delete it and your boards within 30 days, except anything the law requires us to keep. Copies of boards you shared as a link stay up until you ask us to take them down. We don't keep audio.

Your choices

• Contact us to see, correct, export or delete your account and boards. We reply within 30 days.
• If someone added you to a board and you want your name and email taken off it, email us.
• You can sign out at any time.

Children

Speakingboard isn't directed to children under 13, and we don't knowingly collect their information. If we learn we have, we delete it.

Do Not Track

We don't track you across other sites, so a browser's Do Not Track signal changes nothing here. No other company collects information about your activity across sites through Speakingboard.

Security

We use reasonable safeguards: passwords stored only as salted hashes, HTTPS connections to speakingboard.com, and sign-in cookies that page scripts can't read. No system is perfectly secure. If a breach affects your personal information, we'll tell you as the law requires.

If you're in the EU or UK

• Controller: Seedro Systems LLC (contact below).
• Legal bases: providing the service you asked for (contract); keeping the service secure, preventing abuse and fixing bugs (legitimate interests); and your consent for Listen-In, connected AI apps and optional fields, which you can withdraw at any time.
• Where it's processed: in the United States, by us and the providers listed above.
• Your rights: you can ask to access, correct, delete, restrict or move your information, or object to how it's used. You can also complain to your data protection authority.

Changes

If this policy changes, we'll post the new version here with a new effective date. If a change is material, we'll email account holders before it applies to information we already hold. We'll update this policy before any paid plan opens, and before hosting moves off our own computer to a cloud host.
